Why the paperwork is rarely the real process

Formal procedures often describe what should happen. Useful systems analysis starts by finding out what staff actually do when an order is urgent, information is missing or a supplier changes the rules.

Integration is an accounting-control problem first

Moving data into an accounting package is not only a technical API task. The difficult part is deciding which transaction is authoritative, when it becomes final, how reversals work and how duplicate posting is prevented.

Automation should remove decisions, not only clicks

A weak automation repeats manual steps faster. A useful automation makes the rules explicit, validates the input and gives staff a clear exception path when the normal flow fails.

An SOP is part of the system

Documentation is not something added after implementation. It defines responsibilities, handoffs and recovery steps, particularly when the person who normally “knows how it works” is unavailable.
